Who we are
ScholarReach AI ("we", "us") is a web app at scholereachai.com that helps students find university professors whose research matches theirs and write personal outreach emails for scholarships. It is operated from Pakistan. For any privacy question, email [email protected].
What we collect
- Account details: your name, email address and password. Passwords are stored only as a secure hash; we can't see them.
- Documents you upload: your CV, transcripts and other files, and the facts read from them (education, experience, skills, research interests). You confirm each fact before it is used.
- Your profile and writing style: target degree, intake and countries, and any sample emails you give us so drafts sound like you.
- Professor information: names, titles, research areas and work email addresses published on official university pages and scholarly indexes.
- Your emails: the drafts we write, your edits and approvals, and whether each email was sent, opened (if you turned on open tracking), replied to or bounced.
- Gmail connection: your Gmail address and the access token Google gives us to send on your behalf (see Google user data).
- Payments: for JazzCash or Easypaisa, the transaction ID and the payment screenshot you upload. Card payments are handled by Lemon Squeezy; we never see your card number.
- Technical data: a sign-in cookie, and security logs such as sign-in times, used to keep accounts safe.
How we use it
- To match you with professors and write personal email drafts from your confirmed facts.
- To send the emails you approve, at the times you choose, from your own Gmail.
- To show your progress: sends, opens, replies and follow-ups.
- To run your account: sign-in, email verification, password resets, plan limits and payments.
- To keep the service secure and fix problems.
We don't sell your data, we don't show ads, and we don't use your data for advertising.
Google user data (Gmail)
When you connect Gmail, ScholarReach AI asks Google for one permission: send email on your behalf (gmail.send). It does not ask for permission to read, search or delete your email, and it cannot open your inbox.
- We use this permission only to send emails that you have reviewed and approved in the app, plus a test email to yourself when you ask for one.
- Your Google access token is stored encrypted and is used only by our sending service.
- We don't transfer or sell Google user data, and we don't use it for advertising or to train AI models.
- No person reads your Google data unless you ask us to for support, it is needed for security, or the law requires it.
- You can disconnect Gmail at any time in the app (Settings → Integrations) or at myaccount.google.com/permissions.
ScholarReach AI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
AI processing
To read your documents, score research fit and write drafts, we send the needed text (your confirmed facts and the professor's public information) to our AI provider, Anthropic, through its business API. Under its commercial terms, this data is not used to train its models. Only the text needed for each task is sent.
How we protect it
- Uploaded files are encrypted at rest (AES-256) and are never available through a public link.
- Gmail access tokens are encrypted, and passwords are stored only as secure hashes.
- All traffic uses HTTPS.
- Only the account owner and, for payment checks and support, the site administrator can access account data.
How long we keep it
We keep your data while your account is open. When you delete your account (Settings → Delete account), we disconnect Gmail and delete your documents, professors, emails and payment records straight away. Copies in backups are removed within 30 days.
Your choices and rights
- See and download your data: Settings → Export your data.
- Correct it: edit your profile, facts and documents at any time.
- Delete it: delete single items, or your whole account in Settings.
- Stop tracking: open tracking is off unless you turn it on, and you can turn it off at any time.
- Ask us: for anything else, email [email protected]. We reply within 30 days, usually much sooner.
Cookies
We use one essential cookie to keep you signed in (it lasts up to 14 days). Your light or dark theme choice is saved in your browser. We don't use advertising or third-party tracking cookies.
If you are a professor
ScholarReach AI only uses work contact details that universities publish on their official pages, and every email is written, approved and sent by an individual student from their own account. If you ask a student not to contact you again and they record your reply, our system blocks any further emails from that student to your address. To ask us about data relating to you, email [email protected].
Age
ScholarReach AI is meant for people aged 16 and over. If you are under 18, please use it with a parent or guardian's permission.
Changes to this policy
If we change this policy, we will update the date at the top. For important changes, we will tell you by email or in the app before they take effect. See also our Terms of Service.
